JOB DESCRIPTION : Admi nistrative Office Manager / Executive Assistant TARGET START DATE : May 1, 2023 ESTIMATED H RS/WK : 40 hours/ week L OCATION : Washington DC office REPORTS TO: Executive Director STATUS : Full-Time PAY RANGE : $45,000 - $55,000 SUMMARY The National Association for Family Child Care (NAFCC) is a nationwide non-profit organization dedicated to promoting high quality child care by strengthening the profession of family child care for nearly one million paid home-based early learning programs serving almost 40% of the 6.7 million children who receive care from a nonrelative on a regular basis. Since 1982, NAFCC has been supporting family child care throughout the country as educators make the intentional professional choice to offer high quality early care and education in their homes. Their mission Is  to support and leverage a nationwide network of educational professionals in expanding and promoting the power of family child care by (1)  engaging and developing  a diverse membership base of FCC educators; (2) Increasing the number of FCC educators  accredited for meeting the highest standard s for home-based early care and education; and (3) being a national leader elevating the  voice of FCC . The Office Manager plays a key role on the National Team. The Office Manager is responsible for overseeing the daily operations of NAFCC's various departments. Duties include manag ing all of NAFCC's phone and email systems, communicating with each department director and relaying important information and policy changes from upper management and implementing incentives to enhance productivity and overall cheerful office environment. The office manager will coordinate internal and external resources and cultivate relationships with vendors especially in the DC area. ESSENTIAL FUNCTIONS Office Administration Manage NAFCC's phone line and ensure messages and calls are transferred to the correct department s Ensure NAFCC's out-of-office messages are set up and running during office closure Manage NAFCC general email address to ensure emails are read and forward to the correct department in a timely manner Ensure mail and payments are opened , scanned and forwarded to the correct department in a time ly manner Build relationships with local vendors Manage budget allocated to office administration Maintain c entralized list of technology tools and subscriptions shared across organization Create and maintain a centralized digital filing system accessible to all staff Maintain and organize documents relating to organizations policy, compliance and employee handbooks Keep track of office supply and computer inventory and office needs for employees Manage payment schedule for each vendor and ongoing subscriptions Providing scheduling and logistical support to the Executive Director Communications and Messaging Manage and organize NAFCC events calendar while taking into account various time zones Coordinate with all departments in preparation of the newsletter , social media messages and any events that require additional support Design, write and disseminate communications and messages on various platforms, including email & social media, as requested Cultivate relationships and directly engage with Family Child Care providers and document pattern s of need for our FAQ and/or strategy on best support members Provide trainings to departments if/when there is a change in our policy and procedures Assist in drafting and editing presentations, spreadsheets, dashboards, documents as requested REQUIRED EDUCATION & EXPERIENCE Deep commitment to NAFCC's mission and beliefs in the value of Family Child Care Ability to speak Spanish and/or multi-lingual to provide support for Family Child Care providers strongly preferred Organized individual who is able to support in event planni ng and calendar management Bachelor's degree with at least 3 years related work experience Experience working with or engaging in Family Child Care setting strongly preferred Desire to work in a collaborative work environment with majority of staff member working remotely Commi tted to centering equity and inclusion through a justice framework Exhibit emotional intelligence and empathy for colleagues and FCC providers National Association for Family Child Care is an Equal Opportunity Employer.
