The Facilities Manager provides administrative support to agency staff through a broad range of duties such as assisting in the coordination of maintenance, supply management, vendor communication, and general operations. This position is responsible for planning, organizing, and controlling facility systems, security, and custodial services to assure a safe, reliable environment for staff, visitors, and clientele. Administers the planning, design, construction, maintenance, and alteration programs of all facilities, systems, and equipment. This position will travel between our Anchorage and Wasilla Locations. This position is responsible for observing policies, procedures, and safeguards to protect the privacy of health information in compliance with the HIPAA Privacy (Privacy Rule). Essential Functions of the Position: Provide direct supervision of Facilities Assistant Distribute office and furniture, equipment, and supplies Ensure maintenance and registration of agency vehicles Organize and distribute building keys Identify and plan for facility improvements to support a safe and high-quality work environment Coordinate logistics for building repair and maintenance Monitor and procure office equipment and maintenance supply inventories Coordinate vendor contacts Assist as needed with maintenance, facility licensing, food programs, and service coordination Conduct monthly inspections of all facilities and vehicles to identify hazardous conditions, equipment malfunctions, facility hazards, unsafe conditions, and/or disrepair and report findings to COO Participate in the RPM committee Other Duties and Responsibilities Act as agency Safety Officer; serve as the primary contact for health and safety measures related to the various job sites. Collaborate with other departments to maintain agency health and safety procedures and practices Other duties as assigned Position Requirements: Minimum Qualifications: Three (3) to five (5) years' experience in the construction or maintenance field. One (1) to two (2) years of supervisory experience preferred. Knowledge, Skills & Abilities: Ability to monitor expenditures Ability to review and understand invoices Ability to conceptualize, prepare and execute project plans including managing and tracking disparate funding sources, vendors, timelines, phases, etc. Ability to manage multiple complex projects simultaneously Must have excellent written and oral communication skills and sound judgment. Ability to maintain positive professional working relationships and to work effectively within a team environment. Organized, efficient, and able to manage multiple tasks simultaneously with attention to detail and accuracy. Ability to ensure confidentiality as prescribed by agency policy and federal law Proficient with Microsoft applications (Word, Excel, Outlook) and possess the ability to learn other software applications. Knowledge and understanding of agency policies and procedures Ability to read, speak and write in English Physical Requirements : Ability to perform sedentary work as well as to be engaged in moderate physical activities (e.g., walking). Must be able to occasionally lift and move items up to 50 lbs.; have visual acuity necessary to utilize a computer monitor throughout the course of a normal workday; ability to perform repetitive keyboarding activities and operate general office equipment; ability to communicate verbally, both in person and over the telephone; and must have hearing acuity. Must have the ability to occasionally ascend/descend a ladder, stoop, kneel, crouch or crawl. Working Conditions: Work is performed in a community mental health center with locations in Anchorage and Wasilla. Other Requirements: continual proof of a valid Alaska Driver's License, maintain current personal vehicle insurance and registration on personal vehicle(s) used for company business; maintain a violation free driving record for the past year; and be at least 21 years old due to driving on company business.
