Role Purpose: The Executive Assistant will support ALMA and its CEO. Reports To: CEO Key Relationships: Senior Leadership Team Key Responsibilities The Executive Assistant will provide high-level administrative support, project management, participate in meetings with CEO, participate in JEDI (justice, equity, diversity & inclusion) training, provide thought leadership, strategy support, planning and preparation for events and functions. This hub provides physical space to gather, eat, celebrate, and learn through its indoor and outdoor spaces while providing cultural, educational, and music-based programming through its concert venue, recording studio, and outdoor performance space. We promote economic development for social change while remaining in alignment with our indigenous values for the prosperity of future generations to thrive. Our kitchen menu of seasonal cuisine changes progressively throughout the year based on peak ingredient availability. With a focus on sustainability, we source regionally from artisans, fishermen, and farmers to maintain the highest quality and focus on local agriculture and food sovereignty. About the Executive Assistant Position The Executive Assistant position is a new role supporting ALMA and its CEO. The most important function of the Executive Assistant is their ability to keep the CEO organized, informed, and prepared for anything that comes their way by providing comprehensive support and acting as an extension of the CEO. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. Efficiently working in an environment of constant learning and evolution, adaptability is key, including working remotely with the Wend team. Reporting to the CEO of ALMA, this role will support an evolving body of work focused on creating and improving systems and processes. Key Responsibilities of the Executive Assistant High-Level Administrative Support Support logistics and meetings for the CEO, tracking multiple deadlines and priorities, scheduling, drafting emails, arranging travel, tracking expenses, phone and zoom calls. Support the CEO and provide additional support to executive team members through communications that support operations, goals and objectives including: communicating by email/phone; arranging video conferences, meeting locations, lodging, and food; preparing presentation decks. Collaborate and manage communications and sharing of information within Wend and on behalf of ALMA and its CEO as directed. Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contacts database. Project Management Maintain and refine internal processes that support ALMA executives, and coordinate internal and external resources to expedite workflows. Facilitate development of cross-departmental initiatives and system improvements. Enable the implementation of projects that support strategic initiatives and improve cross-functional operational business processes. Accompany the CEO to key meetings and events. Attends operations, project, and program-related meetings with or on behalf of the CEO (e.g. staff meetings, annual planning and budget meetings) to capture information and assure thorough follow up. Other Functions Ensure the confidentiality and integrity of information. May perform related duties consistent with the scope and intent of the position. Participate in J.E.D.I. (Justice, Equity, Diversity and Inclusion) training and activities, and perform all work in a culturally responsive manner consistent with ALMA's mission, Theory of Change and Principles. Event preparation and planning as directed by the CEO. Provide thought leadership and support in strategy and conduct research to develop new program areas and funder partnerships (i.e., land, mental health). Qualifications Bachelor's degree or higher, ideally in a business related field such as Finance, Operations or Business Management. 3-5 years experience in an administrative role, reporting directly to upper management. Excellent written and verbal communication skills. Profound attention to detail, while maintaining perspective to uphold the big picture. Strategic and collaborative thinker. Willing to both give and receive feedback. Ability to work effectively with Indigenous Peoples and diverse communities and cultures. Strong time-management skills and ability to coordinate multiple concurrent projects. Proficiency with office productivity tools and an aptitude for learning new systems. Flexible team player, willing to adapt to changes and unafraid of challenges. Maintain confidentiality of information related to the company and its employees. Good working knowledge of all Microsoft Office applications, Notions, Slack, Google Suite, and social media web platforms. Occasional evenings and weekends as requested. Travel 10-15% of the time. Benefits Salary full time exempt. Range $70,000 - $85,000, depending on experience.
