Administrative Assistant/Receptionist - Hanover OfficeWe are seeking a dynamic, flexible, and self-motivated professional who will thrive in our competitive, fast-paced company! The Office Administrator/Receptionist plays a key role in the general administration of the seasonal operations of the office and providing day-to-day support to account managers and senior executives. The Administrative Assistant/Receptionist will assist with organizing and coordinating office operations and procedures throughout the spring/summer in order to ensure organizational effectiveness and efficiency, and contribute in driving sustainable growth.This is a seasonal position available from April through September. Candidates with excellent performance may be considered to transition to a full-time, year-round position upon completion of the season.Responsibilities· Responsible for professional, orderly, well maintained office environment - greet visitors, organize and clean common areas, water flowers, etc. Manage adherence to office policies and procedures regarding use of common areas.· Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image. Maintain knowledge of basic procedures across departments in order to answer frequently asked questions. Reroute calls to appropriate staff members.· Sort and distribute incoming and outgoing mail.· Supervise the maintenance of office equipment ensure printers are fully stocked.· Fax, email and process miscellaneous documents as requested by the managers.· Maintain client database, respond to client inquiries; resolve customer problems as needed.· Assist with company apartments and utilities; secure, process payments, respond to inquiries.· Participate in contributing to Social Media presence.· Assist with organizing company events as needed.· Participate as needed in special departments' projects.· Ensure security and confidentiality of data.Qualifications· Must have a dynamic, warm, and outgoing personality· Solid communication skills, both verbal and written.· Excellent organization skills and attention to detail.· Ability to interact successfully with both internal and external customers.· Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.· Experience in office management/customer service· Proficient in Microsoft Word, Excel, Outlook.· Must be available Mon-Fri 9am-4pm.· Working on Saturdays required during the summer.Hourly Wage $15 - $20 per hour (determined based on experience)We provide equal employment opportunities (EEO) to all employees and applicants for employment without regard to race, color, religion, sex, national origin, age, disability, genetics or any other protected class or characteristic.
