Payroll Specialist

TITLE: Payroll Specialist REPORTS TO: Chief Financial Officer Summary: Essential Functions: Maintains payroll information by collecting, calculating, and entering data. Prepares reports by compiling summaries of earnings, taxes, deductions, leave and fringe benefits. Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and worker’s compensation payments. Using computer payroll system, cuts weekly paychecks. Does weekly reporting of taxes and deductions to taxing and savings agencies. Resolves payroll discrepancies by collecting and analyzing information and makes corrections when necessary. Provides payroll information by answering questions and requests. Maintains payroll operations by following policies and procedures; reporting needed changes. Maintains employee confidence and protects payroll operations by keeping information confidential. Prepares timely quarterly and annual reports for various tax agencies and unions. Prepares records for archival. Other duties as assigned. Peripheral Functions: Skills, Knowledge and Abilities: Excellent verbal communication skills with an emphasis on customer service. Ability to speak clearly and articulately and to use proper grammar. Ability to maintain a good attendance record. Demonstrated competence in MS Office, including Word, Excel, Outlook and Access. Ability to analyze information thoroughly to detect errors and determine best course of action. Excellent organizational skills. Excellent data entry skills and attention to detail. Ability to demonstrate minimum keyboarding speed of 60 WPM. Ability to maintain confidentiality. Math skills, including ability to develop complex Excel worksheets to assist in payroll tasks, troubleshooting and problem solving. Knowledge of the use of financial software for running payroll functions. Knowledge of the federal and states rules and laws governing employing and paying employees. Education and Experience: High school diploma and five years of experience as a member of the payroll and HR staff in a business office environment. Work with payroll in a construction environment is preferred. Physical Requirements: Sitting is required for the majority of the day, although sitting and standing may be varied as necessary for comfort. Fine finger dexterity is required for use of a keyboard and other office machines. Occasional lifting of up to 20 pounds. Working Conditions: Work is performed in an office environment.
