Job Title: Accountant/ Bookkeeper Summary: The accountant (Accounts Payable / Project Accountant) is responsible for construction overhead accounting and project related accounting, which include project set-up, invoicing, payments to subcontractors and vendors, and coordinating with the project team on financial matters. Duties and Responsibilities: Calculate, post business transactions, process invoices, and provide other clerical support necessary to pay the obligations of the organization. Clarify any questionable invoice items, prices or receiving signatures. Verify and calculate all extensions and totals on invoices (calculating and taking discounts when applicable). Maintain copies of vouchers, invoices or correspondence necessary for files Update UCSE checks on hold list after check run and after releasing checks Monitor billing and assist with collection of past due receivables. Prepare & Issue Purchase Orders. Prepare and submit monthly billings to the owner for each project; to include invoices, waivers, and sworn statements (if applicable). Enter vendor invoices into the computer system and assign the appropriate cost codes. Request and review subcontractor invoices and waivers for accuracy and then process subcontractor applications for payment. Review with Principal which invoices to pay after payment is received for a project and distribute checks to the subcontractors and vendors being paid. Set-up new projects in computer system. Be the point of contact for subcontractors’ and vendors’ inquiries. Perform diversity compliance – reporting / certified payroll. Assist in developing and maintaining internal controls. Provides technical assistance and advice to project management staff to ensure smooth and efficient day-to-day operations. Suggest improvements to accounting system and questions from affiliates. Assists with accounting department responsibilities as needed. Performs other duties as assigned by management. Language Ability: Ability to read, analyze, and interpret typical business and accounting correspondence and financial reports. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information in one-on-one and small group situations to customers and other employees of the organization. Math Ability: Ability to understand accounting concepts such as job costing, progress billing, overhead, change orders, etc. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to interpret an extensive variety of accounting concepts. Required Skills: To perform this job successfully, an employee must be able to understand construction accounting, master the construction billing process, and effectively use the following computer programs within a reasonable amount of time: Microsoft Office Suite - Excel, Outlook & Word ComputerEase CMiC Core Competencies: Organization - Utilizes strong organizational skills and can handle multiple priorities with multiple deadlines. Communication - Displays strong written and oral communication skills and effective listening skills. Problem Solving - Analyze problems and makes sound decisions in a timely manner based on objectives, risks, implications, and costs.
