Accountant & Grants Manager REPORTS TO: Executive Director DEPARTMENT: Administration/Operations STATUS: Full-Time COMPENSATION: Salaried FLSA CATEGORY: Exempt LOP OR IC: Individual Contributor – establishes and promotes a reputation for integrity, honesty, and reliability by demonstrating sound personal and business ethics and values. Position Summary The Accountant & Grants Manager serves as a staff member at will of the New Orleans BioInnovation Center, Inc. In that capacity, the Accountant and Grants Manager is primarily responsible for preparing and maintaining financial records and reports in accordance with GAAP and non-profit accounting standards, performing account reconciliations and month-end close processes, and performing the annual budgeting and audit cycles. The Accountant & Grants Manager works closely with staff members in all departments to ensure timely and accurate financial statements and reconciliations occur. The Accountant & Grants Manager will be responsible for preparing and maintaining financial records, grant budgets, and reports for all federal and state grants held by the organization in accordance with applicable federal and state regulations. The Accountant & Grants Manager will be responsible for submitting all grant reporting to federal and state agencies in a timely manner. Essential Duties & Responsibilities Priority 1: Financial Create and maintain financial reports, records, general ledger accounts. Prepare journal entries, analyses, accruals, and balance sheet reconciliations allowing for an on-time monthly close process. Process accounts payable and conduct monthly statement review to resolve any billing issues. Prepare deposits and process accounts receivable, report and perform collections on aging balances as necessary. Maintain and reconcile restricted net asset schedules. Ensure compliance with GAAP and non-profit accounting standards. Create and maintain annual budgets and projection models in coordination with the Executive Director. Perform annual audit preparations and submittals. Prepare and process 1099 tax forms annually. Create, maintain, and regularly update all accounting procedural manuals and process documentation. Priority 2: Grants Management Oversee grant compliance with federal statutes under 2 CFR 200, as well as state and local regulations, and monitor all purchasing guidelines set forth therein. Prepare and maintain grant budgets and financial reports. Submit grant reporting to federal and state entities and drawdown grant funds in a timely manner. Submit no-cost extensions and budget amendments for expiring, underspent grants. Ensure company entity registrations are kept up to date for all grant reporting sites. Manage sub-award contracts and expense reimbursement requests. Work closely with grant funded departments to ensure accurate expense coding and percent effort allocations are completed and submitted in a timely manner. Act as liaison to external grant agency officers, sub-awardees, and cohorts. Priority 3: Administration Prepare and process payroll for 5-10 employees and maintain all payroll records. Act as liaison with administrative vendors and external partners including banking, HR, benefits, payroll, retirement plans, insurance brokers, real estate managers, board members, and others as required. Budgetary/Fiscal Responsibilities: Consistent with duties as set forth above. Responsibility for Confidentiality: The nature of this position requires safeguarding against the release of confidential and proprietary information of the Center. Contact with Others: This position will interact with managers at all levels and staff members across the organization, in addition to members of external organizations and the public. JOB REQUIREMENTS/EXPERIENCE Education: Bachelor’s degree in accounting or finance preferred, or any equivalent combination of education and/or experience. Experience: Minimum of 5 years in accounting or finance required. Experience with non-profit accounting and FASB 11 & 117 is strongly preferred. Experience with federal and state grants preferred. Knowledge, Skills, and Abilities: Proven computer skills with QuickBooks is required. Proven computer skills including Microsoft Office and G Suites are necessary. Requires excellent organizational skills, written and oral communication skills, technical knowledge, attention to detail, and ability to prioritize work and tasks. Requires adaptability to produce and meet deadlines in a fast-paced, multi-task and changing environment, and the ability to work as part of a team. Must have the ability to handle sensitive information with diplomacy. Schedule Availability: Days. Licenses/Certifications: None. Ability to reach for, move and/or lift up to 15 pounds and the use of hands to finger, handle, or feel objects, tools, or controls.
