JOB DESCRIPTION OVERVIEW: The Executive Assistant to the President and CEO, provides executive support and assistance in a one-on-one working relationship to the President/CEO. They serve as a primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Assistant to the President/CEO also serves as the primary scheduler for the Office of the President and as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach; and oversees special projects. This is an on-site position. The Executive Assistant to the President/CEO must be self-directed and motivated and enjoy achieving high impact results and outcomes. The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. DUTIES AND RESPONSIBILITIES: Executive Support: Plans, coordinates, and handles the schedule for the Office of the President as well as the personal calendar of the President/CEO. Ensures the President/CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office. Handles logistical planning for any travel required of the President/CEO. Prepares and submits for approval President/CEO expense reports. Oversees, manages and maintains the Outlook calendar for President/CEO Assist with meeting preparation including preparing and formatting PowerPoint presentations. Attends meetings with the President/CEO. Provides background materials in preparation for internal and external meetings. Communicates directly, and on behalf of the President/CEO, with Board members, donors, the Advisory Board, Foundation staff, and others, on matters related to CEO's programmatic initiatives. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Board Support Assists board members with travel arrangements, lodging, and meal planning as needed. Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, include advance distribution of materials before meetings in electronic/paper format. Communications, Partnerships, and Outreach Ensures that the President's bio is kept updated and respond to requests for materials regarding the President and the organization in general. Help prepare for internal and external meetings and presentations including conducting background research. Coordinate with the Communications Department on media related events and interviews. Edit and complete first drafts of written communications to external stake holders, including thank you notes. And other duties as assigned Other Professional and Personal Qualities Strong organizational skills that reflect the ability to perform and prioritize multiple tasks Exceptional interpersonal and communication skills with the ability to build relationships with stakeholders, including staff, board members, external partners and donors Strong writing and presentation skills Knowledge of Microsoft Word, Outlook, Excel, SharePoint and PowerPoint is required Bachelor’s degree with 5 years of experience supporting C-Level Executives, preferably in a non-profit organization, or equivalent SALARY This is an onsite (hybrid), full-time exempt position. The position is $60,668.00- $75,312.00. The salary will be commensurate with experience. IWPR provides competitive salaries and a generous benefits package.
