The Executive Assistant will provide complex, high-level support to the executives and when needed, the broader Leadership Team. The ideal candidate will leverage a broad range of interdependent skills including a high degree of professionalism and discretion when handling a wide variety of responsibilities. The successful candidate will be a detail-oriented, critical thinker with strong organizational and interpersonal skills. This role requires the ability to proactively build organizational knowledge and relationships and thrive in a fast-paced, entrepreneurial environment. Responsibilities include: Heavy management of complex calendars. Including prioritization of meetings and managing scheduling conflicts. Assists the executives with preparing for meetings, including preparing materials, obtaining materials in advance, distributing materials, and keeping the executives on schedule. Highlights information the executive needs to pay attention to and/or questions he/she may have. Obtains appropriate support for virtual attendees as well as various media needs and other logistics Coordinates and/or assists with team meetings (staff meetings, all-hands meetings, quarterly on-sites/off-sites, executive gatherings, etc.). Optimizes travel arrangements (transportation, accommodations, agenda) based on the executive's travel needs and preferences. Manages complex itineraries, to include any changes. Enables remote decision-making. Prepares, updates, and organizes information for inclusion in huddle boards, reports, correspondence, presentations, budgets, etc. Edits documents for accuracy, format, and arrangement of material. May conduct research on behalf of the executive Sorts, screens, and distributes incoming and outgoing mail for the executive(s). May highlight particular information of interest and/or curate reading material Assists in keeping the executive highly organized, including online retrieval and archiving of documents as well as supporting the Company's records and retention schedule Assist in organizing the slides for executive meetings Other job duties as requested Qualifications: At least 5 years of experience as an assistant in an executive support role, preferably an executive team Solid knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, Teams, Adobe Acrobat, etc.) records management systems, and other business procedures and terminology. Excellent organizational skills, time management skills, and attention to detail, including anticipating needs, and being resourceful and proactive. Displays a high degree of professionalism in order to maintain confidential information with discretion, deal with people tactfully, and help establish strong relationships and positive communication. Strong ability to read complex settings and respond to challenges and/or circumstances with diplomacy and tact. Ability to multitask calmly and efficiently under pressure, shifting priorities, and changing direction Ability to anticipate needs and be proactive with the executive team Experience working with PowerPoint and Google Slides and the ability to review for design and grammatical correctness Ability and willingness to jump in and take on new tasks within the business Benefits: Paid time off (PTO) 2 weeks accrued annually during the first two years of employment 3 weeks accrued annually after two years of continuous employment 4 weeks accrued annually after five years of continuous employment Seven (7) paid holidays per year 30 minute paid lunches per working day over 5 hours Employer paid 60% of the total medical insurance premium Employer paid 75% of the total dental insurance premium Employer paid 75% of the total vision insurance premium HSA with match up to $150 per month 401(k) with 100% employer match up to 3% and 50% match for the following 2% Employee Assistance Program (EAP) Employer paid $25,000 of basic life coverage Optional additional life insurance Optional accident insurance Employees who are active medical cannabis patients are eligible for an employee discount of 35% off of WholesomeCo products and 15% off of 3rd party products WholesomeCo is an Equal Opportunity Employer.
