Posting Period: March 19, 2024 - Until Filled Employee Type: GENTEMP General Temps Position Type: Temporary (Fixed Term) Salary Range: $62,969.00 - $96,542.00 Rank: NEASO Rank 5 Position Details: Position Emphasis: This position supports NEA's strategic objective to focus the energy and resources of its 3 million members toward the promotion of public education by performing high-level and detailed administrative and programmatic support to the NEA Center for Racial and Social Justice (CRSJ). Position Summary: The essential functions of this position include providing high-level administrative, program, technical and financial support for the Center for Racial and Social Justice (CRSJ) at large, and specifically programs and projects within the Community Advocacy & Partnerships Engagement (CAPE) Department. The incumbent carries primary responsibility for providing executive level, highly specialized, technical administrative and programmatic support to the Department and Center. The incumbent interacts regularly with external audiences, inclusive of NEA membership and NEA Governance/ elected leadership, in support of community and external partnership outreach programs within communities of color. The incumbent handles advanced scheduling for both internal and external audiences, writes and edits reports and correspondence, constructs project plans and planning timelines, determines implementation strategies, processes consultant and travel vouchers, makes hotel and travel arrangements, and creates PowerPoint presentations. The incumbent will provide administrative support (scheduling, correspondence drafting, staffing support) to highly political and visible programs and meetings for NEA Governance and upper leadership - including the NEA Board of Directors, governance committees, etc. The position requires a high level of discretion and confidentiality, ability to multi-task in a fast-paced environment, meticulous attention to detail, ability to manage up when working independently, ability to work collaboratively with a team, as well as excellent verbal and written communication skills.The role may include providing executive-level administrative support to Center managers, directors, senior-level executives, and will include administrative support and staffing to department staff. The incumbent also interacts with social media and digital engagement platforms for member engagement and advocacy; assists in the planning of internal and external conferences/meetings, including handling logistical arrangements and providing on-site support. The incumbent is responsible for developing and editing materials; providing technical support to member-based outreach programs and events; technological webinar support; coordinating print production; and providing support to governance committees and events. The incumbent provides assistance to the CRSJ Manager for Business Affairs in providing departments within the Center with program support, including, but not limited to, developing tracking systems for various departmental reports; coordinating department projects; implementing NEA policies and procedures; preparing advocacy related and departmental spreadsheets; tracking of fiscal resources with NEA external partners; as well as preparing and compiling data and developing and maintaining databases. The incumbent will provide specialized technical and administrative support to grants management including tracking grant cycles, processing grant payments, and drafting correspondence. To carry out these responsibilities, the incumbent uses a computer and/or laptop, and associated software, and travels occasionally. Selection Criteria: Tier 1 (Essential): Proven experience providing a wide range of administrative support to department programs and management. Demonstrated use of sound judgment for decision-making and ability to follow through on tasks with minimal supervision. Demonstrated high-level technology skills for managing calendars, appointments, and schedules, word processing, spreadsheet, database development/maintenance, and development of presentation materials (preferably using Microsoft Outlook, Microsoft Word, Excel, Access, and PowerPoint software), and electronic communications. Demonstrated ability to handle confidential matters. Effective interpersonal and customer service skills to interact with all levels of staff, governance, and NEA membership. Strong verbal and written communication skills. Demonstrated ability to project manage, plan, and organize large conferences/meetings with external constituencies. Demonstrated web skills and experience with multimedia, digital, and online platforms. Demonstrated skill in coordinating meeting and travel logistics. Demonstrated ability to work independently and collaboratively as part of a team. Ability to handle multiple competing and complex tasks simultaneously under stringent timeframes and changing conditions. Ability to create reports and resources for purposes of tracking work. Experience collecting and synthesizing data. Proven current experience providing specialized program, administrative, and financial support, including processing vouchers and vendor payments. Proficient knowledge and use of PeopleSoft for voucher processing. Virtual meeting planning experience and experience with virtual meeting software (i.e. Zoom, Microsoft Teams, etc. ). Experience with program budget management and tracking. Demonstrated ability to work with and staff NEA leadership and/or governance. Tier 2 (Significant): Experience with CVent software for conference/meeting planning. Experience with project management software (i.e. Smartsheet). Knowledge of the overall work of the Center for Racial and Social Justice. Tier 3 (Desirable): Knowledge of the mission and programs of the National Education Association.
