ABOUT THE ROLE & THE DEPARTMENT: Under the supervision of the Executive Director, the Administrative & Project Coordinator will provide primary administrative and clerical support and assist with planning and implementing projects and programs for two small departments: the Peace Commission (Peace) and the Police Review & Advisory Board (PRAB), located at 51 Inman Street, 2nd Floor. The Police Review & Advisory Board is responsible for civilian oversight of the Cambridge Police Department (CPD), providing a prompt, impartial and fair investigation of complaints brought by individuals against members of the CPD. The Board is completely independent of the CPD and is authorized to receive, investigate, and mediate complaints against members of the CPD and review complaint investigations completed by the CPD's Professional Standards Unit. The Peace Commission works with other municipal agencies, communities of faith, and nonprofit organizations to promote positive dialogue, foster understanding, and coordinate compassionate community responses to support recovery and healing in the wake of traumatic events and violence affecting Cambridge and its residents. The Commission organizes events and programs, including the City's annual commemorations of Martin Luther King Day and of the Holocaust, as well as the citywide Meet Your Neighbor Day each September. It also supports the work of the Citizens' Committee on Civic Unity, which fosters fairness, equity, unity, appreciation, and mutual understanding across all people and entities in Cambridge.ESSENTIAL DUTIES & RESPONSIBILITIES: Specific duties include but are not limited to the following: Provide administrative support to the Executive Director, including scheduling, correspondence, conference and training preparation, and office organization. Support monthly public meetings for PRAB, the Peace Commission, and the Citizens' Committee on Civic Unity (Civic Unity). Duties include scheduling, logistics, drafting and posting agendas, publicizing meetings, compiling and distributing materials, and timely notetaking and drafting of meeting minutes. Support and assist in the planning and execution of projects, events, and outreach initiatives across the departments. Assist with annual fiscal budgetary tracking, and be directly responsible for budget administration, financial processes, and timely processing of accounts payable. Manage intake of complaints received by PRAB regarding the practices and policies of the Cambridge Police Department. Maintain PRAB correspondence, case files and case management docket, to track and document all inquiries and cases that come to PRAB. Maintain and update City web pages for Peace, PRAB, and Civic Unity, and design program/outreach materials, including flyers and brochures. Coordinate daily operation of Peace and PRAB's administrative functions, including recordkeeping of departmental fiscal matters and accounts payable/receivable. Perform reception and office management duties for Peace and PRAB's administrative office, including ordering, receiving, and keeping an inventory of all supplies. MINIMUM QUALIFICATIONS: Education and Experience: Associate degree and 2+ years of experience in carrying out general administrative duties in an office setting or any equivalent combination of education, training and experience. Knowledge, Skills, and Abilities: A successful candidate will have excellent customer service skills, excellent organizational skills, and attention to detail, and will be able to prioritize and multi-task work for two departments and multiple projects. Strong interpersonal skills are essential, including the ability to maintain composure, sensitivity, confidentiality, and discretion in interactions with a wide range of individuals and communities. Excellent research and writing abilities, a high level of organizational, communication, and interpersonal skills, and the ability to work both independently and collaboratively. Demonstrated computer literacy using Microsoft Office applications including Word, Outlook, and Excel. Commitment to anti-racism, diversity, equity, and inclusion. PREFERRED QUALIFICATIONS: Education or experience working in the fields of mediation, community organizing, law, and/or criminal justice desired. Demonstrated commitment to civil and human rights and social justice. Familiarity with Adobe Acrobat, InDesign, Canva and/or other design software. Knowledge of the Cambridge community. PHYSICAL DEMANDS: Ability to access, input, and retrieve information from a computer. Answer telephones and maintain multiple files. May require minimal lifting of up to 10 pounds. WORK ENVIRONMENT: General office environment with air conditioning and fluorescent lighting. The office can be active with phone calls and walk-in members of the public. This position may be eligible for hybrid work under the City's Telework Policy, depending on operational needs.
