Disbursements Services Admin I - Blackfoot, ID Are you detail-oriented and team-focused? If so, this opportunity may be right for you! The Disbursements Services Admin I will be part of the Disbursements Services team responsible for processing and paying supplier invoices, freight invoices, employee expense reports, and bi-weekly hourly payroll accurately and in a timely manner. S/he will ensure compliance to union contracts and all internal policies and procedures governing the approval and disbursement of company funds. S/he will assist with general and month-end accounting processes when needed. During the training period, s/he would work full-time in the office. After the training period, the position is partially remote, subject to business needs. Currently, the expected schedule would be 2 days working in the office and 3 days working from home each week. Essential Job Duties: Review, validate, and input data from supplier invoices and other forms of payment requests into a centralized accounts payable system. Perform 3-way match on all purchase order-related invoices. Prioritize invoices to ensure urgent demands and deadlines are met. Research and resolve all invoice and receiving discrepancies in collaboration with suppliers, receiving warehouse personnel, and the procure-to-pay team members. Perform all tasks required to process payroll in a timely and accurate manner and in accordance with policies and procedures. Complete workflows for new hires, terminations, promotions/demotions, and other employee changes. Calculate monthly union pension and union dues liabilities and submit payment requests in accordance with pension plan and company policies. Responsible for all tasks related to temporary employees, including reporting labor hours to agencies, reconciling the invoices, and preparing month-end labor accrual entries. Approve expense report transactions submitted in Concur. Validate adherence to company policy, clerical accuracy, and completeness of documentation. Generate batch reports from Concur to be used in the interface process for uploading into the accounting system. We're Looking for Someone With: Associate's degree (A. A.) or equivalent from a two-year college or technical school; or a minimum of one year of related experience (e.g. accounts payable, accounts receivable, payroll, bookkeeping, accounting, etc.); or equivalent combination of education and experience. Ability to work independently High degree of detail orientation Ability to process data, numbers, and calculations, such as reviewing time cards, computing wages, reconciling invoices, entering payroll deductions, and calculating overtime, with accuracy and compliance. Knowledge of accounting software is preferred, as well as Microsoft Excel, Microsoft Word, and Microsoft Outlook. Ability to maintain the highest standards of accuracy, precision, discretion, and confidentiality. Ability to read and interpret policies and procedure manuals.
