*Applicants who apply through third-party sites (Indeed, Monster, etc.) will receive an email from ApplicantPro to complete their application.* SUMMARY The Office Administrator is responsible for answering a multi-line telephone system, providing assistance or information to callers and visitors, and connecting them with appropriate staff members and services provided by Lutheran Family Services Rocky Mountains (LFSRM), and/or general information regarding its operation. Performs clerical work, including secretarial support and bookkeeping duties. ESSENTIAL DUTIES AND RESPONSIBILITIES Assist visitors by greeting, welcoming, directing and announcing them appropriately. Answer, screen and forward incoming calls (ensuring that phones are answered by live individuals 90% of the time) while presenting essential information and referrals when needed. Prepare incoming checks for deposit and create a daily recap sheet, forwarding to appropriate staff and assists with the donor acknowledgement process. Take checks and cash to the bank for deposit and enter into appropriate database(s). Enter check deposits made at other LFSRM office locations into appropriate database(s). Create new employee background check files and check requests for background checks. Processes credit card payments and complete recap sheets, including calling clients to receive their credit card information. Processes incoming and outgoing mail and packages including maintaining the postage meter. Maintain inventory of and order central and corporate office supplies, business cards, name plates & nametags for entire agency, kitchen supplies and other necessary items to maintain the office; and prepares bills for payment. Act as a liaison with building management for facilities maintenance. Serve as support staff to LFSRM programs including, but not limited to word processing, data entry, billing, photocopying, creating packets and phone calls. Straighten and organize the reception area, waiting room, conference rooms, storage areas and kitchen when needed. Assist with a variety of event registration and planning. Assists with Quarterly & Semi Quarterly Board meetings including catering, snacks & reserving conference rooms. Prepares Board/Trustee meeting notes. Oversee sign up process for office space and equipment usage (conference rooms, projector, etc.). Maintain the office directory for the entire agency. Maintains keys for LFSRM suites and storage areas. Assist the Finance Department with filing when necessary. Performs other duties as assigned. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. It is imperative for this position to be present when scheduled to fulfill agency needs. Therefore, attendance and punctuality are essential job requirements. Proficient computer skills including Word, Excel and Email and use other equipment such as the copier, fax machine and calculator. Ability to be trained on new computer application. Familiarity or experience with Raisers Edge Database preferred. Must be able to communicate effectively and clearly in verbal and written form; excellent phone skills needed. Able to manage multiple tasks while answering phone and greeting guests. Able to maintain confidentiality in all agency related matters. Ability to perform basic math functions. Must possess strong interpersonal and communication skills to work effectively in a team environment. Must be able to perform routine tasks such as collating materials and filing. Possesses a valid Colorado driver's license, and is able to travel throughout the agency service areas. Must carry automobile liability insurance at the level of $100,000/300,000/100,000. EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED); and two or more years related experience and/or training; or equivalent combination of education and experience.
