Senior Project Coordinator - Aberdeen (37.5 hours per week) Job Purpose: Ensures customer requirements are met and documents and shipments are completed in a timely and efficient manner ensuring consistent high quality operational processes that enable DHL Global Forwarding to build and develop customer relationships. Key Activities: Follow up with key suppliers to ensure orders are ready on time for collection Creates/confirms transport order to ensure pickup or delivery of shipments Performs booking and booking optimization according to internal guidelines as defined by Product. Prepares, controls and distributes all required Export documents to counterparts (carrier, consignee, supplier, etc. ) complying with regulations and internal procedures. Checks responses from counterparts and finalizes validation of required documents. Follows-up shipment status in the Export/ Import area identifies incidents and ensures resolution of incidents. Updates customers in a timely manner with shipment status Preparation of customer reports Customer Service in the incident and exception management resolution. Maintains excellent relationships with suppliers and our customers. Is responsible for identifying performance issues of suppliers and proposes solutions to improve/correct performance. Performs IT systems related tasks to provide up to date information on shipment. Interacts with IP Management, Product, and Global Service Centre, if required. Escalates issues if required. When required provide Air, Ocean and Road quotes to customer Negotiate improved buy rates from company suppliers to minimize expenditure and maximize profit Complete billing in accordance with the standard operations procedures. Close operations files in the system Monitors Customers payment by ensuring the invoice printed is 100% correct and submit to the client’s portal.
